JOB DESCRIPTION:
Job Summary: The Operations Officer plays a vital role in ensuring smooth daily office operations while providing direct support in reception, HR & operations, and administrative assistance to the Board of Directors (BOD). This position requires effective communication skills in both English and Vietnamese, strong organizational abilities, and a commitment to maintaining a professional office environment.

- Call Management: Answer and transfer incoming calls in both English and Vietnamese promptly and courteously.
- Visitor Handling: Greet and assist visitors, customers, and partners professionally, ensuring a welcoming experience.
- Front Office Appearance: Maintain cleanliness, organization, and a professional appearance of the reception area, meeting rooms, and common spaces.
- Mail & Couriers: Handle all incoming and outgoing correspondence and courier deliveries (domestic and international).
- HR & Operations Assistant Objective

- Office Operations: Manage daily office operations for both HCMC office and site locations, ensuring facilities and logistics run smoothly.
- Document & Meeting Support: Assist with administrative tasks such as photocopying, scanning, translation, booking meeting rooms, and maintaining office files.
- Supplies & Equipment: Monitor and replenish office supplies; ensure proper maintenance of office equipment and coordinate with vendors when needed.
- Service Contracts & Payments: Manage service contracts (e.g., cleaning, internet, vehicles, pantry services), process related payments, and prepare expense reports.
- Attendance Tracking: Check employee attendance and report to HR Leader on a regular basis.
- Business Travel: Coordinate travel arrangements (flight, hotel, car rental, visa, etc.) for employees and support HR in managing travel budgets.
- Event Support: Assist in planning and executing company events, employee engagement activities, and celebrations.
- Miscellaneous: Support HR Leader in ad-hoc tasks and internal operations as required.
- Administrative Support for BOD

- Meeting & Schedule Coordination: Support BOD in managing calendars, meeting room bookings, and preparing meeting materials.
- Travel & Logistics: Arrange and confirm BOD business trips, accommodations, and transport logistics with accuracy and confidentiality.
- Expense & Documentation: Assist in preparing payment requests, reimbursement claims, and document filing related to BOD operations.
- Confidential Assistance: Handle sensitive information with discretion and maintain confidentiality in all executive-related matters.
REQUIREMENTS:
Education:
- Bachelor’s degree in Human Resources, Business Administration, Economics, or related fields.
Experience:
- 1 – 2 years of experience in administrative roles or similar positions.
Skills:
- Proficiency in both Vietnamese and English (verbal and written).
- Strong organizational and multitasking abilities.
- Excellent communication and customer service skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and office equipment (printers, scanners, etc.).
- Ability to handle confidential and sensitive information with discretion.
